Quarterly Reporting Information

All CVA grantees are required to submit quarterly progress reports and quarterly pumpout gallon reports as follows:

Quarterly Progress Reporting

All Clean Vessel Act grantees are required to submit a Progress Report Form, which is Exhibit A of their contract, for each quarter of their grant award period until the project completion date as outlined in their agreement. CVA grantees must submit their quarterly progress report within 15 calendar days following the end of each quarter.

• The four quarter end dates are as follows: March 31, June 30, Sept. 30 and Dec. 31.
• Progress Reports should be submitted to the CVA Grant Manager for processing via the DEP Grantee Portal.
• The quarterly progress report should outline problems encountered, problem resolution, schedule updates and proposed work for the upcoming reporting period.
• The Grant Management System User Guide provides instructions on how to complete the Quarterly Progress Report.

Quarterly Pumpout Gallon Reporting

For any CVA Operations funded agreements, the CVA grantee is required to submit a Quarterly Pumpout Gallon Report for each quarter that they are seeking reimbursement for - as outlined in the agreement. The 5-year Quarterly Pumpout Gallon Reporting Form is used to submit this report.

• The four quarter end dates are as follows: March 31, June 30, Sept. 30 and Dec. 31.
• Quarterly Pumpout Gallon Reports should be submitted to the CVA Grant Manager along with a Payment Package for reimbursement via the DEP Grantee Portal.

Five-Year Quarterly Pumpout Reporting

For any CVA Equipment Purchase funded contracts, the facility will be required to report for five years following the project completion date of its award. CVA Grantees must submit a completed 5-year Quarterly Pumpout Gallon Reporting Form within 15 calendar days following the end of each quarter.

• The four quarter end dates are as follows: March 31, June 30, Sept. 30 and Dec. 31.
• Quarterly Pumpout Gallon Reporting Forms should be submitted via the DEP Grantee Portal.
